ACH or Card? Choose Around the Client Workflow

ACH or Card? Choose Around the Client Workflow

A client approves your proposal, but payment stalls while someone asks for a card link, another person requests bank details, and the invoice sits in an approval queue. That is a payment-workflow problem, not just a payment-method problem. For consulting firms, ACH and card payments can each make sense; the better fit depends on how clients pay and how your team tracks what comes in.

Start with the client’s process

A small business owner may prefer paying an invoice by card, while a larger client may route vendor invoices through an accounts-payable process that favors bank payment. Ask who approves the invoice, what information they need, and whether payment happens through your invoice or their own system. Offering a method clients can actually use can prevent avoidable back-and-forth.

Do not assume every client has the same preference. If your firm serves both individuals and organizations, make the available options and any relevant terms clear before the invoice is due. A simple choice can be more useful than steering every payer toward one method.

Compare the work after payment

The comparison should include more than the transaction cost. Consider how each method appears in your records, how your team matches a payment to a project or invoice, and what happens when a payment needs attention. A method that looks attractive on paper may create extra reconciliation work if the client’s name, invoice number, or payment reference is missing.

Make the choice explicit

Review your recent invoices and note where payment delays came from: client approval, unclear instructions, or a method the payer could not use. Then compare ACH and card options against those specific friction points, including their fees, terms, and support arrangements. When Accipiam includes affiliate links to payment tools, we may earn a commission; compare the trade-offs independently and choose for the workflow, not the link.
